Cancellation Policy for Biophilic Concept Interiors
Short Courses and Workshops.
Biophilic Concept Interiors provides in-person interior design courses in South Wales and Malmesbury, Wiltshire. The courses consist of six weekly two-hour workshops or two-day six-hour workshops.
This policy outlines the terms and conditions for bookings, payments, cancellations, and refunds related to short courses and workshops offered by Biophilic Concept Interiors (BCI) on a commercial basis.

This document uses "will" when compliance with requirements is necessary and "should" when advice is given.

3.1.2 Payment of course fees
To secure a course place, pay a non-refundable deposit online via Stripe using debit or credit cards. The remaining balance must be paid 14 days before the course start date. BCI will invoice organizations with purchase orders, with immediate payment terms. Course place(s) won't be confirmed until payment is received, and booking confirmation will be sent upon receipt of payment.
3.1.3 Cancellation and Refunds

- The full balance, less the deposit, will be refunded if cancelled 28 days or more before the course start date
- A 50% refund given for cancellations made 15-27 days before the course start date
- No refund for cancellation made 14 calendar days or less before the course start date.
NB: Refunds will be issued only to the original payment account.
To avoid cancellations and fees, BCI allows free name changes for course delegates up to 48 hours before the start date. For bookings that may be cancelled, they offer a free transfer to the next available course or add the delegate to a waiting list. Transfers are only available up to 48 hours before the course and are limited to one transfer per booking.
To cancel, change a delegate name, or transfer to a new course date, send a written request to info@biophilicconcept.com. BCI will confirm the request within 24 hours and refund within 14 days of written acknowledgement.
3.1.4 Course Cancellations from BCI
Lack of minimum delegates
To ensure a quality learning experience, a minimum number of delegates are required for each course. If this threshold is not met, BCI may cancel the course, communicating the cancellation to delegates within 48 hours of the course start date. Delegates will be offered a new course date or a full refund if they are unable to attend the rescheduled course. BCI aims to refund payees within 14 days of course cancellation.
Course Trainers
BCI ensures that all courses and workshops are taught by an experienced and qualified tutor. In case of unforeseen events, a substitute tutor may be provided. If a replacement tutor cannot be found, BCI reserves the right to cancel and reschedule the session for a better learning experience. Delegates will be notified ideally 24 hours in advance, but in rare cases, notice may be given on the day of the course due to emergencies.
BCI may cancel a course at any time due to unforeseeable events, including weather conditions, strikes, closures, or other force majeure. If this happens, delegates can transfer their booking to an alternative date free of charge or, on a case-by-case basis, receive a refund at the discretion of BCI.
3.1.5 COVID-19 cancellations
BCI prioritizes staff and learner safety and takes necessary precautions, including risk assessments. Refunds and cancellations related to COVID-19 will be considered on an individual basis at BCI's discretion.
